Guide to setting up graphic / HTML Email signatures in Outlook Express

NOTE: This guide may not be an exact representation of the current software version

1. With Outlook Express running and at least one email account already set up, from the top menu click:

Tools Options... Signatures

to arrive at the following window:

2. Click Signature #1 and then Rename to give your signature a personalised name.

3. Click the File radio button and browse to the html file that will be used as a signature file.
HINT: You may need to set the Files of Type drop-down to show HTML.

NOTE: If you were provided with a signature .htm file by PCDS then it MUST be stored – and remain stored – in the exact location that was specified at the time of supply. If its location is not as originally specified then any graphics referenced by the signature file will not be found and the signature will not display correctly.

4. So now you've found the signature file and specified its location to Outlook Express, as below:

Click OK and your signature is ready to insert into your emails, as shown below, but note that when creating a new email you must select 'Rich text (HTML)' formatting NOT 'Plain Text' from the Format drop-down menu (or you may wish to set this as a default in Options>Send). Note that there is no guarantee that your recipient will see the full HTML rendering as some corporate email will be stripped of HTML coding and only shown as plain text for security reasons.

1. With Outlook Express running and at least one email account already set up, from the top menu click:

Tools Options... Mail Format

to arrive at the following window:

2. Click on Signatures... enter a name for your new signature, click on the Use this file as a template radio button and then click on Browse to locate the required file:

3. Select the required file.

HINT: You may need to set the Files of Type drop-down to show HTML.

NOTE: If you were provided with a signature .htm file by PCDS then it MUST be stored – and remain stored – in the exact location that was specified at the time of supply. If its location is not as originally specified then any graphics referenced by the signature file will not be found and the signature will not display correctly.

4. Once you have clicked Select you should return to this window:

5. Click Next to advance to the next Sinature set up window ...

6. ...and click Finish to arrive back at the Create Signature window:

7. Click OK to close the Create Signature window, check that your new signature is set up for your account and click OK to close the Options window.

8. When you create a new email message with this account, your new signature should already be placed on the page.
